Alethexis — Special Terms for Classroom Accounts

1. Purpose
These Special Terms govern the free, temporary use of an Alethexis practice organisation (the “Classroom Account”), intended exclusively for training activities, workshops and educational demonstrations concerning artificial intelligence governance and management.
These Special Terms supplement the Alethexis General Terms of Service. In the event of a conflict concerning the specific characteristics of a Classroom Account, this Annex shall prevail.
2. Creation, ownership and participants
Alethexis will create the Classroom Account at the request of an authorised trainer, who will act as its Owner.
A maximum of 25 people in total, including the Owner, may participate. The trainer will manage invitations, membership and access permissions and must inform participants of the applicable usage rules.
Participation does not grant students ownership of the Classroom Account.
3. Permitted use and prohibition of real data
The Classroom Account may be used only with synthetic or fictional data that do not relate to identified or identifiable natural persons.
Users must not enter real information concerning customers, employees, patients, students or other individuals, confidential information belonging to real organisations, sensitive personal data or authentic documents.
The trainer must communicate and supervise compliance with this restriction.
Labelling screens and documents as “Classroom account · synthetic data” does not make their outputs valid compliance evidence for a real organisation.
4. Features and restrictions
The Classroom Account is provided free of charge and is not billed. It does not include APIs, webhooks, single sign-on or a public Trust Center.
Alethexis may restrict available features to those necessary for training and apply specific security measures to this environment.
Generated documents will identify their training purpose and must not be used as official documentation for real organisations.
5. Duration and renewal
The initial term is 120 calendar days from creation.
Alethexis may expressly renew the Classroom Account for additional periods of up to 120 days. Renewal is not automatic or guaranteed.
At the end of the authorised term, access to the modules will be suspended. Renewal may be requested during the following 30 days. If no renewal is granted, the applicable closure, export and deletion procedure will begin.
Suspension does not mean that information is immediately erased or that data protection obligations cease to apply.
6. Resetting the Classroom Account
The Owner may reset the Classroom Account using the available feature and an explicit confirmation.
Resetting will delete training content created within the account and restore the initial synthetic dataset. The organisation and its members will remain, without prejudice to the treatment of technical and security records.
This action cannot be undone and will be recorded.
The Owner must warn participants beforehand about the loss of their training content.
7. Data protection and responsibilities
Alethexis will process users’ identification and authentication data in accordance with its Privacy Policy and the GDPR.
The trainer is responsible for the legitimacy of the invitations they manage, informing participants and supervising compliance with the prohibition on entering real data.
Where Alethexis processes personal data on behalf of the organisation holding the Classroom Account, the relevant provisions of the Data Processing Agreement shall apply.
The contractual prohibition on entering real data does not remove responsibilities arising from any processing that actually takes place.
8. Security, suspension and early termination
Alethexis may suspend access in response to uses that breach these Special Terms or create security risks, informing the Owner whenever reasonably possible and proportionate.
If real data are entered accidentally, the Owner must report the matter through the support or privacy channel so it can be assessed and, where appropriate, erased.
Security and data protection obligations continue during suspension and closure.
9. Acceptance and evidence
Creation or activation requires the Owner’s explicit acceptance of these Special Terms through a separate, unticked checkbox linked to the applicable version.
Alethexis will retain evidence of the accepted version, account identity, date and acceptance event in accordance with its retention policy.
10. Contractual relationship
For matters not expressly covered by these Special Terms, the General Terms of Service, Privacy Policy and, where relevant, Data Processing Agreement shall apply.
